The KPFF Special Projects Group was established to directly address these concerns with a unique combination of focused dedication to successful delivery via specialized project managers, a highly qualified technical staff, and a predisposition to think and act innovatively. Special Projects has offices located in Seattle & Tacoma, WA and Long Beach, CA, with a total staff size of 150 people.

Job Description

As a Project Coordinator at KPFF, your primary focus will be to support Project Manager(s) and design teams in the successful delivery of our projects. Your responsibilities include:

• Providing project controls for design projects, assisting in project scope, schedule, and budget monitoring.
• Creating and managing Project Set-Up Forms, preparing comprehensive contract documents, and facilitating seamless coordination with subconsultants.
• Monitoring contract expenditures, reporting variances, and actively participating in monthly invoicing.
• Finalizing and executing Work Directives/Task Orders and performing contract administrative management.
• Reviewing, processing, and monitoring proposed contract changes.
• Reinforcing quality procedures for contract documents and financial reporting and working with other staff to ensure compliance with contract requirements.
• Managing workload efficiently to prioritize tasks and meet deadlines for project milestones.
• Maintaining accurate and organized project files throughout the entire lifecycle, including establishing efficient filing systems tailored to the projects.
• Providing administrative support, including file management, updating schedules, attending and documenting meetings, tracking documents, and contributing to technical editing and formatting of project documents.
• Preparing or overseeing the development of subconsultant agreements and task orders.
• Ensuring clear and effective communication with internal and external stakeholders regarding project inquiries or department procedures/requirements.
• Providing project managers with monthly project and contract reporting status, assisting in the preparation of invoicing in support of the Accounting Manager.

Position Details:

Full-time, non-exempt position.

Location: Long Beach office with occasional presence on project sites and/or agency offices.

Position Requirements:

• Associate or bachelor's degree preferred.
• Proficiency in Microsoft Office Suite.
• Proficiency in Adobe Acrobat and/or Bluebeam.
• Strong organizational skills with the ability to handle multiple concurrent tasks and meet deadlines.
• Ability to work with and take direction from multiple levels of professional staff.
• Effective prioritization and strong time management skills.
• Superior verbal and written communication skills.
• Previous experience in an engineering environment is a plus.
