Under moderate supervision, this role provides clerical, administrative, and reception support to ensure smooth office operations. Key duties include data entry, maintaining records, answering calls, and scheduling appointments. The position also involves managing printed materials and tracking Quality Improvement activities. Proficiency in Kings View's electronic health record system (EHR) and Microsoft Office Suite is required. The role involves following company policies and maintaining clear communication with staff and management to help the program run effectively.
How will I contribute
Provide administrative support to ensure smooth program operations. Perform accurate and efficient data entry and typing tasks. Answer incoming phone calls, manage inquiries, and schedule appointments. Track and report on Quality Improvement activities with comprehensive documentation. Oversee the supply of printed materials (forms, brochures, etc.), ensuring quality, readability, and accuracy. Maintain regular communication with staff and management to support program effectiveness. Maintain and scan records in compliance with HIPAA guidelines. Demonstrate proficiency in data collection, entry, and reporting within EHR systems. Perform billing processes as needed for the program. Ensure adherence to HIPAA guidelines and confidentiality standards. Assist with client and staff scheduling coordination. Implement and update protocols for environmental safety and compliance. Manage program inventory, ensuring sufficient supplies and resources. Maintain organized and compliant office, medical, and program records. Complete timely scanning and ensure the file room is organized and compliant with HIPAA standards. Assist with onboarding, training, and mentoring new staff. Provide support to the Clinical Director and Program Director as needed. Perform other duties as assigned to support the overall functioning and success of the program. May encounter risk of working with persons with SMI (serious mental illness) that may include, but not limited to persons in mental health crisis, persons that may be intoxicated or impaired by drugs or alcohol, persons who may be DTO (danger to others), DTS (Danger to Self), or GD (Gravely Disabled). If such situations arise, staff will be required to call local emergency personnel to help deescalate the crisis, use crisis intervention techniques, and consult with supervisor as soon as practically possible.
What I bring
High School Diploma (or Equivalent) Class C Driving License 2 years of administrative experience in a similar role, preferably in a healthcare or behavioral health setting. High School Diploma or comparable quantitative field or equivalent related work experience. Knowledge of basic office tasks, such as using office software, organizing files, and answering phones. The role involves tracking expenses, operating office equipment, and staying informed about new technologies. Strong organizational skills and attention to detail are important for keeping the office running smoothly. Ability to organize tasks efficiently, manage time effectively, and communicate clearly. The role requires operating office equipment, learning new software quickly, and maintaining attention to detail in all tasks. Adaptability to new technologies and handling basic administrative functions with minimal supervision are also important. May require the ability to obtain credentialing through the local County Managed Care Department. Strong interpersonal skills and ability to work collaboratively with diverse teams. Detail-oriented, organized, and reliable. Strong communication skills and a proactive attitude are essential for assisting with various tasks. Flexibility, a willingness to learn, and the ability to handle multiple responsibilities are important characteristics for success in the role. Bilingual English/Spanish preferred
