General Purpose
The primary purpose of this position is to handle legal administrative tasks for the company's in-house transactional team. This role ensures that proper administrative procedures are maintained at all times.
Essential Duties:
• Provide administrative support to a small group of internal attorneys.
• Coordinate attorney appointments and schedules.
• Screen incoming calls and legal correspondence, manage the attorney workflow, take and relay messages, and respond independently when possible.
• Assist in developing and implementing structured workflows.
• Gather, record, and report on information relating to claims made.
• Receive and scan mail. Mail letters via USPS, FedEx, and UPS.
• Coordinate transportation, hotels, and itineraries.
• Maintain a high level of attention to detail, organization, and efficiency.
• Prioritize and successfully manage multiple projects simultaneously.
• Provide exceptional and timely service to internal and external sources.
• Review lease agreements.
Qualifications:
• 3 years' experience in an administrative role preferred.
• Ability to read, analyze, and interpret legal documents, including leases.
• Ability to effectively and concisely communicate via email and phone.
• Ability to effectively present information and respond to questions from others.
• Strong organizational and time management skills.
• Proficiency in Microsoft Office Suite and other relevant software.
Physical Demands and Work Environment:
• The employee must occasionally lift and/or move up to 25 pounds.
• Prolonged use of a desktop or laptop computer.
• Regularly required to sit, stand, walk, talk, read, or hear.
• Frequent use of office-related equipment, including copier/scanner/fax, telephone, and calculator.
• Travel by car or airline may be required.
• The work environment is usually low to moderate noise level.
